MINISTRY DOOR COUNTY MEDICAL CENTERSTURGEON BAY, WISCONSIN NORTH SHORE MEDICAL CLINIC  SUBJECT:    PHARMACEUTICAL REPRESENTATIVE VISIT POLICY  

PURPOSE:    To ensure efficient use of Clinic resources while providing access to pharmaceutical information, sample medications and updates.

 PROCEDURE:

I.          Pharmaceutical representatives (reps) will be directed to the clinic administrative assistants.

 

A.  The clinic administrative assistant will collect information from the rep including which specialty Providers they would like to meet with. 

 

B.  The clinic administrative assistant will send out information via e-mail to appropriate Providers to inquire as to interest in meeting with the rep, with a one week deadline for a response.

 

II.        Providers who wish to meet with the rep will respond to the email.

 

A.    At time of response deadline, the clinic administrative assistant will notify the rep of intent to meet.

 

1.  Meeting time will be scheduled that poses least impact to the patient care schedule.

2.  No patients will be rescheduled for a pharmaceutical rep visit.

 

III.       All meetings will take place in the Provider’s office or clinic conference room and time will be allotted in accordance with routine set minimum appointment time increments.

 

IV.       The Provider may invite direct care staff to join the meeting as needed for patient education or practice flow purposes.  

 

V.        As outlined in Corporate Ministry Policy, (CI-022) Gifts, Meals, Entertainment, or Other Items or Services of Value Policy, food and other items of value are prohibited

 

VI.       All requests for new sample stocking should be approved by the Sample Medication Committee.

 

VII.     For delivery of samples already in stock, contact is made with the refill line assistant who determines need and obtains appropriate physician signature.  Refill line assistant then logs meds into the system.

  Addendum for satellite clinics:

Established or new pharmaceutical reps interact with reception staff who then conveys the

information to the Provider or clinic supervisor.  Staff log any added samples into the inventory.

 Addendum for Women’s and Children’s Health Center:

Established pharmaceutical reps interact with reception staff that facilitates appointment with the

RN.  The RN will confer with the Providers and/or director as needed.  Staff log any added samples into the inventory.
